Appointments, Submission and Recording the Final Decision

Written by Oleh Voronko

A smooth handover from preparation to submission, and a clear path until your visa is issued.

Once your documents are ready and your form is completed, the final steps of the visa process begin. These include attending appointments, submitting your application (either online or in person), and recording the final visa or ETA decision in VisaDoc. These steps must be handled correctly because they directly affect the success and legality of your trip.

This article explains each stage clearly, why it matters, and how VisaDoc guides you through it.

Why the submission stage matters so much

Preparing your application correctly is essential, but the submission stage is where embassies make their decisions. Small mistakes here — arriving without the correct documents, missing a signature, submitting the wrong form, or attending the wrong appointment slot — can lead to delays or even outright rejection.

VisaDoc ensures you never arrive unprepared and that your final visa details are properly recorded for travel compliance.

1. Booking Your Appointment

Some business visas require you to appear in person. VisaDoc ensures the timing and preparation are correct.

Many sticker visas (for example, Schengen C visas, some India visas, certain UK routes) require you to attend a biometric or document-submission appointment.

VisaDoc includes an explicit step for booking appointments at the right time — never too early (embassies may reject early submissions) and never too late (slots may be unavailable).

How VisaDoc helps you book correctly

  • Provides the correct booking link (VFS Global, TLScontact, BLS, or embassy system)

  • Shows what documents to bring

  • Highlights any location-specific rules

  • Prevents you from missing the legally allowed submission window

Example
Germany requires applications no later than 15 days before travel and no earlier than 6 months. VisaDoc schedules your tasks within these legal boundaries to avoid refusals.Tip Book the earliest available slot that still fits your timeline. Appointment availability fluctuates widely depending on season, city, and embassy workload.

Warning
Don't book an appointment before your documents or form are done. Embassies may refuse incomplete applications and require a new appointment.

2. Preparing for the Appointment

The goal is simple: arrive once, submit once, and avoid repeat visits.

VisaDoc gives you a clear appointment preparation checklist so you do not discover missing items at the visa center.

This includes:

  • Passport and copies

  • Completed official application form (for example, VIDEX printout)

  • Supporting documents (invitation letter, employer letter, financial proof)

  • Photos that meet country-specific requirements

  • Appointment confirmation

  • Additional local requirements (for example, proof of accommodation)

Why this matters

Visa centers rarely allow you to correct missing items on the spot. A missing page or wrong document often means rebooking, which delays the entire process.

Tip
Lay out all your documents the evening before the appointment. It reduces stress and ensures nothing is forgotten.

3. Submitting Your Application

Submission can be online, in person, or through a visa center — VisaDoc adjusts to each method.

Depending on the country, your submission may occur through:

A. In-person submission

You attend a VFS/TLS/BLS/embassy location to provide:

  • Passport

  • Biometrics

  • Documents

  • Forms

  • Signatures

B. Online submission

Some countries support fully online processes:

  • India eVisa

  • Saudi eVisa

  • Azerbaijan

  • Several others

VisaDoc guides you through each portal and ensures you upload the correct files in the correct format.

C. Hybrid submission

Some systems require:

  • Online form + in-person biometrics

  • Online payment + appointment

VisaDoc explains each combination clearly.

Document handover at submission

VisaDoc highlights how your documents should be presented:

  • Chronological order

  • Required copies

  • Additional copies of passport

  • Identical information across all documents

Embassies appreciate organisation. A clean document package increases trust and reduces questions.

Example
A mismatch between invitation dates and flight dates is a common reason for embassy rejections. VisaDoc checks this earlier in the process so your submission is already consistent.

4. Tracking and Status Updates After Submission

Once your file is submitted, VisaDoc continues guiding you until the decision is made.

After submission, you will see your application’s status move into:

  • Submitted

  • Under review

  • Decision ready

Some embassies provide online tracking; others do not. VisaDoc helps you record progress manually.

Tip
Keep your appointment receipt or tracking number. Some visa centers require it to collect the passport.

Why recording updates in VisaDoc matters

Managers, travel coordinators, and HR teams rely on live status updates to ensure business travel compliance. The moment your visa is ready, your organisation should know.

5. Receiving and Recording the Final Decision

This final step ensures your travel is compliant and properly documented.

The visa process is not complete until you upload or confirm the final decision.

VisaDoc supports three types of final outcomes:

A. Sticker visa (passport visa page)

You will receive your passport back with a physical visa sticker.

VisaDoc asks you to upload:

  • A clear scan of the visa page

Why this matters

VisaDoc can verify:

  • Visa validity

  • Entry dates

  • Number of entries

  • Activity category

  • Consistency with your planned trip

This ensures the visa matches your purpose and that no conditions are violated.

Tip
Scan or photo in good lighting with the full sticker visible. Avoid reflections.

B. eVisa (electronic visa)

If you receive a PDF confirmation or online approval, upload it directly.

VisaDoc asks you to upload:

  • eVisa PDF confirmation

VisaDoc will store the PDF and verify its validity dates.

ETA (Electronic Travel Authorisation)

If you receive an ETA approval, record:

  • The ETA reference number

6. Final review before travel

After your visa is recorded, VisaDoc performs one last validation:

  • Do the visa dates cover your trip?

  • Is your activity allowed under this visa category?

  • Does the approval match your nationality and passport number?

This protects you from surprises at the border.

7. When to escalate issues

Contact your manager or VisaDoc support if:

  • Your passport contains a visa with incorrect dates

  • You receive a refusal letter

  • The consulate asks for additional documents

  • Your passport return is delayed beyond expected timelines

  • You need to change travel dates after a visa is issued

VisaDoc keeps full history so it’s easy to explain exactly what happened and what needs to be fixed.

Summary

The appointment, submission, and decision stages are where preparation meets reality. VisaDoc ensures you arrive ready, submit correctly, and receive a visa that fully supports your business trip.

By following the checklist, logging your status, and recording your final visa or ETA, you guarantee:

  • clear internal compliance

  • a smooth travel experience

  • no surprises at the border

  • a complete historical record for future trips

Your application is now formally complete.
