Starting Your Application and Managing Handover

Written by Oleh Voronko

From clear ownership… to a smooth handoff… to a perfectly structured visa workflow.

Once you select the correct visa option from your results, you are ready to begin the actual application.

This is where VisaDoc turns into your personal project manager for the visa process — guiding you step by step, assigning responsibilities, and ensuring nothing gets forgotten.

This article explains who should complete the application, how to hand it over safely, and how to keep everyone aligned without emails, forwarding documents, or losing track.

Why this stage matters

The moment you press Start Application, a few things happen simultaneously:

  • Your travel dates become locked

  • VisaDoc prepares your personalised timeline

  • Your tasks are created and ordered

  • Your documents begin to be validated

  • Responsibility for the application becomes explicit

This stage sets the foundation for a smooth, coordinated, and compliant visa journey.

Choosing who will complete the application

VisaDoc supports three real-world business visa fulfillment scenarios.

You can switch between them without complexity — but the choice you make now defines who can edit the file and who receives tasks.

Let’s walk through them clearly.

Scenario A. You complete the application yourself

Ideal when you prefer control, are familiar with the requirements, or your company expects each traveller to handle their own application.

When you choose “For Myself”, VisaDoc connects the application to your Profile Hub, reuses your verified documents, and immediately assigns tasks to you.

Why this scenario works well

It’s fast, direct, and keeps you in full control.

You always know what’s happening and when.

Good for:

  • Frequent business travellers

  • Business owners

  • Employees who prefer independence

Scenario B. Your manager, assistant or third-party visa agent completes it for you

Perfect for executives, busy travellers, or organisations with centralised travel/HR processes.

Sometimes you want someone else to handle the admin — or your company requires it.

To enable this, VisaDoc uses a secure access approval system.

How it works

  1. You receive a request from your manager or assistant.

  2. You log in to VisaDoc and review the request.

  3. You approve access in one click.

  4. Your manager gains the ability to prepare and edit your application.

As soon as the manager requests the access, applicant gets an email.

Applicant | Granting the access - Step 1

By proceed to the access center, applicant can manage who has access to his personal data and thus manages his visa applications.

These access rights could be flexibly revoked at any moment later.

Even if you missed the email, you can always review and manage your profile access policy by clicking the "Profile > Access" from the account menu (bottom left).

Tip:
If you're the applicant, and need somebody to get started working on your application, just share (copy/paste) the link to it. That person will be prompted to create a VisaDoc account and will be able to request the access in the same way as described above.

Why approval is required

Your visa application contains sensitive personal information, including passport details and identity documents.

VisaDoc ensures that you always decide who can see it.

Why this scenario works well

  • You delegate admin work without losing visibility

  • Your company maintains control and compliance

  • Tasks are completed by someone experienced with visas

  • You are only asked for what only you can provide (passport, signatures, declarations)

Mistakes to avoid

  • Ignoring the access request email

  • Approving access for staff you don’t trust

  • Not reviewing final details before submission (even when the manager handles the rest)

Scenario C. The manager starts on your behalf

Useful when Business Travel, HR or Mobility teams handle business visas proactively for all the employees.

Sometimes the manager starts the application before you even log in.

This is common for high-touch roles or companies with managed travel programmes.

What happens in this flow

  1. The manager runs the assessments and starts the application.

  2. VisaDoc creates a restricted version of your profile.

  3. Sensitive details remain hidden.

  4. The manager requests access to your profile.

  5. You log in and approve access.

  6. The manager can now see your tasks, upload documents, and complete steps.

Why this scenario exists

It mirrors how enterprise travel works:

Managers often prepare the groundwork, and travellers step in only when needed.

Mistakes to avoid

  • Approving access with the wrong email address

  • Not completing your parts (for example, passport details) when asked

  • Letting documents expire without updating them

When third parties are involved

Some documents can only come from your employer or the inviting company.

Many business visas require documents such as:

  • Employer support letter

  • Invitation letter from a company abroad

  • Company registration documents

  • Financial guarantees

VisaDoc automatically assigns these tasks to the correct party.

You will always see:

  • What needs to be requested

  • Who must provide it

  • Where to upload it

  • When it is due

Tips for smooth collaboration

A short message to the inviting company or HR team — “VisaDoc requested this document for my upcoming trip” — often speeds things up dramatically.

Mistake to avoid

Relying on WhatsApp/email to send documents outside the system.

This breaks the verification flow and increases the chance of losing or mismatching files.

What to expect immediately after starting the application

The moment you confirm who completes the application, VisaDoc generates:

1. Your task list and timeline

Explains, what, where and how to do. Ordered by urgency, with clear deadlines based on embassy timelines.

2. List of documents

All the documents that should be uploaded and verified to apply for a visa.

3. Overview

A simple “storyboard” of your visa journey with key information.

4. Activity

A log of all the visa application's activity, events with responsive dates.

Common mistakes to avoid at this stage

Starting without finalised dates

Leads to rework and timeline conflicts.

Not defining responsibility clearly

Results in tasks sitting idle.

Uploading low-quality scans

Causes delays or embassy refusals.

Not informing your inviting company early

Invitation letters often take time.

Not approving manager access promptly

Slows down the entire process.

Summary

Starting your application is where clarity and structure begin.

VisaDoc ensures that:

  • You know exactly what to do

  • Your manager knows exactly what to do

  • Third parties know exactly what to do

  • Nothing gets lost or duplicated

  • Every step is tracked and verified

  • You stay fully compliant, on time, and stress-free
